I got the following note from FFIL regarding seating. I don't understand what he's saying and I don't want to ask him. Do any of you understand what he is saying we should do? Does he mean tell the hall 4-6 people less per table? IE - for each table of 12, tell them I've got 8?
I realize that I'll probably get no-shows, but perhaps he's doing this to fill up his tables? A lot of his people have RSVP'd no...and alot haven't RSVP'd at all yet. Hee hee. (Out of his 70 invites that went out, he's missing 40!)
By the way, I was told by someone who made a number of weddings that a few couples who said they were going to come, do not. Therefore, it is better to make a seating chart including 4-6 people at their applicable tables, but tell the caterer 4-6 people less. If everyone shows up, we pay for the 4-6 people that day. I don't think we get a refund if it is the other way around.

It sounds like he's saying to make a seating chart including everyone who rsvp'ed yes (lets just say it's 150) but, tell the hall only 144-146 people are coming and if the 150 people show up, then you'll just pay for them that day.

robyn, IGNORE this and just do your seating. there's no such thing as the magic formula. they are trying to bring you down to their level. rise above.

I think he is trying to say that if you have tables of 8 or 12 that you should only tell your hall that there will be 4-6 peolpe at that table in case someone doesn't show up. Thats crazy you can't do that!! Yeah, some people may not come, but thats when you just have to cut your losses. You can't account for that many people MAYBE not showing up. You give FH your final count based on your RSVPs and thats it. Don't start playing games with them, it will wind up biting you in the a$$

I agree date twin... just do your seating as you normally would (if people who say they are coming do not - that's their problem). why stress over that now? yes him and ignore him

I don't know the guy, but what I'm thinking is that he's saying 'short the headcount' and not the actual tables when giving your final number.
ie: We said we had 137, but we really had 140, and still had 132 show up. This way we didn't end up paying for 8 extra seats, and just ended up paying for 5 extra.

I think he's saying to tell your hall that for all those tables of 12 that only 8 people are coming, but you can't just pay for them that day - THERE WON'T BE ENOUGH FOOD!!!! I mean, if you tell your hall 140 and 200 people are there - they order the food for the people you tell them will be there - He's so worried what everyone will think - what will happen when there's NOT EOUGH FOOD at the coctail hour and dinner?????? If he JUST means 4 - 6 people that's one thing, but if he means 4 -6 people at EACH TABLE that's CRAZY!!!

Oh I agree....I used to work as a receptionist at a catering hall near Woodbury and couples would short us like that and then get made when we didn't have 20 extra dinners ready to go. You are best to be honest and safe rather than sorry later.

All that his plan is going to cause is mass chaos. You don't want the wait staff to be running around scurrying for seats the day of the wedding. It's also offensive to guests that do not have a seat when they get there (unless it's an honest mistake, which can happen).
Too bad if his friends didn't RSVP. They are just like everyone else......
