getting blocks of rooms- What are the rules?

Fh's family is coming from the Island's and we wanted to put them in hotels in the area of the hall. If we needed like 8 rooms, by when would we need to have them blocked, do we have to pay for it ourselves and when the guests get here they pay us back or can they pay when they get here? Do we have to leave a deposit for the rooms. Basically HOW IS IT DONE?????

For our wedding in March we went and talked to the hotel in June. We blocked ten rooms and didn't have to put any money down. FH gave his credit card # as a holder. We knew we would need that many rooms, they let us block off as many as we needed. The guests pay for the room and book it themselves just as they normally would.

No they won't charge your card. They will usually hold the rate for up to 5 weeks before the date and then the rooms will be released and the rate no longer valid. If u have any more questions u can FM me.

I think every hotel is different and that you should call them. We blocked 25 rooms but are only responsible to pay for 10 (ours included). Which means, if only 8 rooms are filled, we have to pay for the other 2. We knew that we'd be filling closer to the 20 mark, so that guarantee isn't a problem for us.

But call around - see what each hotel says.

I booked the Holiday Inn in Wesbury. They only set aside up to about 20 rooms. What they do is they say they book 10 rooms at $___ and then if more than 10 rooms are booked the price of all the rooms goes down $10 or so. I dont' think ALL Holiday Inns do that though but find out. Otherwise, the process is this: call whatever hotel you want to have roomed blocked off. Ask for different kinds, like rooms with a king bed or rooms with 2 double beds, etc. Ask if you have to use a credit card to block them. If they say YES, dont' do it. But most hotels say you will not be responsible for unused rooms. What they do instead is that they only hold the rooms aside for your guests up to about 2 weeks to a month before the date of your wedding. So make sure your guests know when to book the rooms. For example my guests have to call the holiday Inn by March 15th to assure that there is a room for them. If they call after then, they may still get a room but then you're risking that there are no vacancies. I hope that makes sense.

The hotel should send you a contract to explain everything and that you're not responsible for the unused rooms.

If they don't, ask for one to be made up. holiday inn, red roof inn and wingate inn all send out contracts, I know that.

ETA: I don't think it's right that anyoen has to pay or use a credit card to block ANY ROOMS other than the one they are going to use themselves. Therefore my advice is to not use a hotel that makes you give a credit card to block off any rooms at all. I can say for sure the Holiday Inn in Westbury, the Wingate Inn in Garden city and the Red Roof in in Westbury do not ask for a credit card from you at all to block rooms.

Good luck!

Even if you reserve a hotel for personal travel, you need to give a credit card - but it's not charged until you check in. That would be the same thing for blocking rooms. You are essentially reserving rooms.

We blocked at three hotels. One in Long Island and two in NYC. We didn't have to give a credit card for any of them. We blocked 10 rooms at each hotel. If those rooms fill up, then they block another 10 rooms.
They sent us a contract which we signed and sent back to them. Again, no deposit necessary.
Our guests have until a certain date to block (most are about a month before). Any used rooms from the block are released back into the public at that time.

Taking a CC# is not leaving a deposit. It's just insurance. Not all hotels are the same.

definitely call the specific hotel that you are interested in.

the hotel that we used had a minimum of 10 blocked rooms - if we didn't fill them, and the hotel couldn't fill them after the block was released to the public, we would be stuck paying for them anyway. luckily, we were able to fill them, so it wasn't an issue.

we booked 50 rooms at the Harrison House in Glen Cove( all Fh's family is upstate)... They took a credit card just to hold the blovk of rooms... We need to fill a % of rooms... I think it is like 25% of the rooms or else they charge the credit card for 25%. Now that got me really upset but we know that almost all the rooms will get booked so for us it wasn't a problem. I think a lot of other hotels don't have that % stuff. The hotel I am using just likes to be difficult?!?!?!

p.s. when the guest call to reserve a room you ust give the hotel your credit card#...then when you actually ckeck in you can just use that card to pay for it or any other method of pymt...

We dont have that many OOT guests, so I guess it wont pay to block off rooms.

I did not have to give my credit card to any of the hotels I blocked.

I have contracts from two hotels stating there are rooms blocked until March ___ 2004 for my April 30th wedding. One hotel said March 15th was the date they let the rooms go and another said March 30th.

When you are reserving a room you have to give a credit card. What brides and grooms are doing are asking the hotel to set aside a block so that when their guests call to reserve rooms, they know that there will be vacancies. It is their job to then reserve the room under their credit card.

ETA: not saying you're wrong..I know of some hotels do ask for CC# when blocking. i just don't want brides to think all hotels do that.

Maybe so but I wouldn't give my CC# to anyone if I was just giving it as 'insurance'. It's too risky and my luck I'd get a bill from them anyway!

There's enough hotels (for the most part) that don't ask for CC# and my feeling is that it's better to go with them than to go with one that wants 'insurance' like my CC#.

Our Hotel we are using does not require our cc# either.

We blocked 20 rooms at the Quality Hotel in Hempstead and 10 rooms at the LI Marriott in Uniondale. We didn't have to put anything down or leave a CC.
