We have some guests coming from OOT, since FHs family is from FL... These are people on a budget, so we've come up with the following options:
1. The Executive Inn Woodbury
2. The Best Western Woodbury
The rooms aren't spectacular, but they're clean... and we can have a free shuttle, and everyone gets a free continental breakfast.
We're not sure if we should book rooms at the Fox Hollow (where we are staying) as:
1. The reduced rate is still kind of high ($179+tax) 2. If we don't book 60% of the block we're responsible for the difference.
It's hard for me to get a feel for people who would book at the Fox Hollow...and we've already put so much into this wedding, we don't want to pay for the difference.. What would LIW do?
I hate weddings!

Re: Hotel Block Question
I had a issue like this too. I had FH email his family to see how many people would want to stay at eastwind. We included info about the price difference. What we basically did was a five room block at eastwind because I knew we would cover all those rooms. They told me that if we need more we can add them (even by a room or two). Check out if fox hollow will let you do that.

Re: Hotel Block Question
Just go with the Best Western then. We blocked at the Hilton Garden Inn in Plainview and since we blocked so many rooms we have to guarantee 50% of them and I'm kind of freaking out about it. I would hate to have to lay down another couple of hundred dollars because or guests decided to find something cheaper... so I see where you are coming from.

Re: Hotel Block Question
i would try and get in touch with the OOT guests and find out what they would choose. Would that be way too much trouble?

Re: Hotel Block Question
Talk to your OOT guests and see if they would stay at the fox hollow or if it would be too much.
If you don't get a solid answer, just go for one of the other ones. I'm sure they are both great hotels!

Re: Hotel Block Question
let me tell you, my FSIL is getting married at Fox Hollow and staying at the fox hollow inn... I had NO IDEA that the rooms were 180pp... we told her we were going to get a room..now im not so sure!!!
OOT guests are mostly anticipating having to spend decent money to spend the night somewhere, but I think it would be better to go somewhere more affordable...they are already spending the money to go to your wedding and give you a gift... you wouldnt want them to feel obligated to stay somwhere they cant afford...
UNLESSSSSSS your family is well off...then go for the nicest place!

Re: Hotel Block Question
We had this issue...FH was too high. We're getting married down the road at WCC... we booked our hotel block at Melville Marriott... $109 per night, no shuttle, no breakfast, but great rate and if we don't book all the rooms, they just release them 6 weeks before our date.

Re: Hotel Block Question
We booked the Executive Inn, the rate was literally half of the Fox Hollow, plus we got the shuttle like you said. All of our OOT guests actually commented on how great the price was. I also told them, if they wanted a little nicer of a hotel, I could give them that info, but everyone booked the Executive Inn.
I personally wouldn't book the rooms at the Fox Hollow especially if you are responsible for the difference. I personally have stayed at the Best Western in Woodbury and it's fine. I also blocked my rooms there. If I were going to a wedding at the Fox Hollow, I would book a room at the Best Western over the Inn at the Fox Hollow as long as there was a shuttle. To me, a hotel after the wedding is just a place to crash after you've drank so much. As long as it's clean, it's fine. No need to spend extra $$ when you're just going to sleep there.

Re: Hotel Block Question
I stayed at the Executive Inn, and the rooms were totally fine, nicer than I thought. There was a problem with the shuttle though - there were 3 weddings going on, so my friend's shuttle block had to be super early, which was a surprise to many of the guests. Most of us missed our set time and had to take cabs, and a few people even got dropped off at the wrong RH! So, just be sure to let your guests know exactly when the shuttle is running.

Re: Hotel Block Question
I would go with option #1! Theyre going to get a free breakfast & shuttle.
You dont want to get stuck paying xtra

Re: Hotel Block Question
Personally, I wouldn't want to take the risk that you'd have to pay the difference.
I'm having a similar dilemma - even though people have expressed to us that they want to book a room, they haven't yet. I don't want there to be a chance that they can't get a room when they do want to book one. Especially since the Three Village Inn only has 26 rooms in total and there's another wedding taking place in the evening. I decided to do a room block, but I'm waiting for the contract to arrive so I can review it. I don't recall any terms that I'd owe the difference if the rooms don't get book since I can just tell them to release the rooms that haven't been booked 1 month in advance.
You don't know what your guests will decide. In the end, they might change their mind about booking a room at FH because it's too expensive. I'd probably go with the other locations and arrange for the shuttle.

ITA with this. For me, it was really important that the rooms were reasonable, and if your guests are on a budget like you say, they will not want to pay $180/night and you will get stuck. If the shuttle idea bothers you, see if you can arrange for a private service (like a limobus or something) from your limo company so that you know your guests won't end up at the wrong place!
