Hotel reservations & out of state wedding guests

Hi Girls, my fiance and I have some out of towners that we are inviting. Our wedding is going to be on a hoilday weekend. We are wondering about 2 things:

1. We want to know sooner or later our exact # of guests.

2. We want to reserve the rooms sooner than later, and what if we don't get all the rooms reserved that we have blocked off?

The fiance wants to send out wedding invitations along with hotel info like 6 months in advance! I told him thats too early. I think he's eager to make sure we guarantee our minimum # and that everyone can get a hotel room that wants one- and that extras don't go to waste.

Do you girls have some suggestions for us?

Thanks in advance

we blocked rooms at the executive inn..it's right by crest hollow..you don't get charged if you don't fulfill the block, they just go open to the publice a month before your wedding date..i would call them and talk to them about it or go there and check out the rooms first so you can speak to them in person

We sent an email to FH oot guests to get an idea. At one hotel we are not responsible for any rooms that don't book, but the other one we are so we sent the email to get an idea of who would want a room.

Also something to keep in mind...when I made my hotel block I was told by all of the hotels I looked at that they can't even activate the reservation before 12 months before my wedding. So when I went looking in September to reserve my hotel block all of the hotels couldn't even activate the reservation until October 10, which was 1 year before my wedding.
I definitely think an email giving the date and all the info is really helpful for your oot guests.

Like someone else says...i'm pretty sure most hotels can't activate the hotel block, or accept reservations until exactly 1 year prior to the wedding. I'm also looking into a hotel block for my FH's whole fam and friends and although i can set up the block now, i dont' think they will accept people's reservations until the year mark.

We blocked rooms at Melville Marriott. You don't get charged for unused rooms, they just release them 6 weeks before your wedding.

To avoid this, I added hotel information onto our wedding website and emailed it out a year in advance. I also added the website to our STDs and slipped a hotel booking card in the envelope that went out 6 months before our date. Out of 29 rooms, 20 are booked already.

I agree. In general, most hotels will not hold room blocks until a year before. You should call around and see. I just added the hotel information to my wedding website and people can go on there for the hotel block info. Also, if you send out save the dates to the OOTers, you can include the hotel block info the hotel provides so they can book their rooms. To avoid being responsible for the unused rooms, you can block rooms 10-15 at a time. There are several within 5 miles of Crest Hollow that don't require you to guarantee rooms. HTH!

we're going to block our rooms soon (about 11 months in advance) and we're going to tell people via word of mouth/facebook/etc. as soon as we do. then about 3 months before we'll send out the info w/ the invitations.

i'll be frequently checking. that way if our first block fills, we can have another one opened

We sent invites out 3 months in advance w/ hotel info. But I had already blocked off rooms 2 months prior to that - it still worked out ok & guests even got a price break 2 weeks before the wedding b/c the price of the rooms dropped another $20 a night (Im guessing b/c of economy)
