Hotel room block -- how to handle?

Hotel room block -- how to handle?

Hey Guys.

I want to blook rooms at a hotel near my reception space. I think I'll be able to 50, easy.

Hotels in the area are pretty small -- like 100 rooms.

Hotel will only let me block 20 rooms at a time. If I want to book more now, I have to pay for them in full -- getting my $ back after the wedding, which is over a year away.

Think I should just book the 20 they'll let me do for free right now and see where it gets me? Or should I shell out the extra money too book more now? I'll get the money back, but not til next year.

Main thing is that I don't want to have to worry about shuttling people to the wedding from 2 locations.

Definately only book the 20. If you dont get the response from out of town guests that you were hoping for, it will be a sin to lay out all that money. Plus I wouldnt be so confident that you would get your money back. if you think about it, say you book 50 and only 20 actually take the rooms - the hotel would be losing money on 30 rooms becasue they held them for you- so they would be losing that $...why would they give it back?

I would book the 20 rooms now, and send out the hotel information with the STD. Hopefully your OOT guests will book up those rooms, and then any other guests can book additional rooms as needed.

You can also try to book additional rooms as needed at a nearby hotel. Older guests, and families could stay at one hotel, and friends who would like to continue the party with you can stay at the other that you're staying at, considering you will be reserving a room after your reception.

I would definitely booked the 20 that you can now and when you inform your guests of the hotel accomodations, urge them to reserve their rooms in advance - that way if you do need more rooms than you can add them on after.

Thanks, everyone. I guess I am getting caught up in people not being on top of things and booking early. But I guess that really is not my problem!

I think I may slip a note in with the save the dates.

You guys rock.

I agree with the other girls. Just go ahead and book the 20 rooms and then urge people to book early. Once the rooms fill up then you can open up more rooms. btw..what hotel are you looking to book?? I'm getting married on the same day as you and we did our room block at the Hyatt Regency Long Island in Hauppauge.

I see your getting married at same RH as me. I woudl book at Holiday Inn and the Indigo (old best western) they both provide shuttles if you book 15 rooms

Thanks, guys.

I am inviting about 250, and I think that I will be able to easily fill 40+ rooms.

Will get on it!
