Keeping track of hotel rooms

for OOT guests. How did you keep track of the rooms? Did you call the hotel and ask them how many rooms were booked under your party?

Just get the sales person contact info and call them oncce in a while. Mine kept sending me an updated sheet once a week. In the end we had 60 guests staying at the hotel. That was a lot of hotel gift baskets to make!

Thanks ladies!!! Im a bit of a control freak too. I want to make sure I make enought gift bags!

I had my sales manager email me the updated list every week so I could stay on top of it.

I'm a huge control freak! A few of my guests had issues when calling the (800) reservation #. So, I would contact my sales person at the local hotel via email. She and I keep touch this way. She sent me a 'print screen' of everyone who's booked. She's great (LaQuinta/Bohemia).

I think that i called like every day leading up the the deadline to reserve rooms. The sales office was very nice and didn't mind.

My contact at the hotel has sent me an updated list on the 7th of every month since September.

I kept on calling the Inn at East Wind and when the rooms were all booked I asked for a print out of who booked the rooms.
