So I want to send out my hotel block info. I have a postcard with all the info on it from the hotel. My questions are: Who do I mail it to? Bridal party and OOT’s? How far in advance should I mail it? I’m about 8 months away right now It will also be included in my invite but they release the discount rate 4 weeks prior to my wedding date

Re: mailing out hotel block info ....2 questions
so far every wedding that we have stayed over the bride and groom just told us the information like months in advance and we all booked right away.
i guess you can send it to all bridal party and OOT guests and maybe anyone you think will is interested in staying over. Does the post card say when they can book? I wouldnt send it too early if they cant book until 4 weeks prior.

Re: mailing out hotel block info ....2 questions
I actually am going to put them in all of my invites. I'm scanning the card from the hotel and buying cardstock and printing my own extras. I'm going to put the cards in for the BP and OOT'ers in their STD's, and then everyone else's in the invites.

We have our hotel info on the website. The website was printed on the STD. The hotel info will only be sent to guests in the invites. It's confusing if you send it separately from the invitation.

I sent the room block info with my STDs because over 50% of the wedding will be OOT guests. I will also be sending it with my invitations.

Re: mailing out hotel block info ....2 questions
The day after I booked the hotel I e-mailed everyone I could think of who might want a room.
I was told well in advance that this would be a full weekend for the hotel. I had a block of 15 rooms for Fri and 15 for saturday. I could not arrange another block untill the first was tasken.
So I wanted to be able to reserve the second block as soon as possible.
So I e-mailed everyone I could think of.
Then we put the info on the save the dates and our website.
THEN I bothered everyone, again, to make a room reservation. I finally got the second block of rooms in early May. A week later the hotel sold out.
So *i* still have rooms for my block, and most people already have a room. But I still have about 5 each night so when the invites go out mid august there is still room for any stragglers.

Re: mailing out hotel block info ....2 questions
i already sent my STD's out because th emagnet was part of my e-party favor so i cant send it with the STD's.
and i am including the hotel info in my invite as well but people procrastinate and if my invites go out 8 weeks before, it gives them 4 weeks to book because the rooms release the 4 weeks before my wedding.
so i figured maybe i should send out a heads up to some of the people that i know may wanna book so they are aware of it now instead of just with the invite

Re: mailing out hotel block info ....2 questions
i've had the block of rooms since april and just sent an email to all my college friends who i know will need rooms. i was going to wait to send them the info, but i saw them this weekend and they asked about it. i sent to them last night and one of them already booked. so it couldn't hurt to email them.

What do you consider out of town guests? I will be having my reception in Smithtown, and family in western Nassau already mentioned to me that they may want to stay at the hotel so they can drink, etc. (plus my hotel will offer a free shuttle service back to the hotel). Is it too much money to send to everyone?

well my hall is in st. james and i have a lot of family that lives close to there so they prob wont book. i figure for local people, 4 weeks might be enough time for them to decide but the out of state people may want more of a heads up for traveling plans. i could send an email but they might delete it at some point and lose all the info.
