need help cancelling a vendor

How do I go about cancelling w/ a vendor?

Due to some unforseen circumstances, we are no longer having our reception at a hall. Instead, we are having a party/BBQ at our best man's house after our church ceremony. But I am no longer using our limo, DJ and florist.

What is the proper wording for explaining this? And since it is 30 days before, I know I will lose my deposits, but I want to make sure they don't turn around and tell us we owe them more.
