New Drama- how did you organize Out Of Town Guests?

All FH family will be coming out of town- most who have never been here before- including all the GMs. We rec places for them to stay, but now some of them are opting to stay in NYC, some on the island. Our wedding/reception is both in the Mineola area- but some of them are opting to stay in the city so they will not have to rent a car, and just take a cab from the train station. (we called, and a cab from the airport (LGA) to us would be $40and up).
I am starting to feel overwhelmed now thinking if everyone is going to get around ok, and anticipating all these problems of them getting in and getting lost.

Did anyone else have issues with this, and how did they handle it? I was planning on making OOT baskets, but with them staying all over the friggin place, it will be impossible for me to get them out- maybe just mail them out hard copy information, like train schedules, cabs, etc and maps?

Any suggestions would be great!

This was a huge concern for me too. We have 280 invites and 200 will be traveling, if they all come. Most have never been to LI and we are having it out east on Labor Day weekend. Many hotels on the island provide shuttles to and from your reception location if you book 10-20 rooms. I'm blocking rooms at 3 hotels.

I have a website (www.kathleenandnicholas.com which is still under construction but up) and I'm putting all the info on there. Two hotels provide shuttles, so if guests stay at the other one they have to find their own transportation out there. I will list on my website cab and car companies for their convenience. I was honestly stressing about this, but I finally realized if people want to come they will make their own arrangments. We have and will do all we can to get the information to them. It's too much to coordinate everything.

I'm trying to get the FH's family to charter a bus for the weekend that way they all have transportation and I dont' have to worry about them getting lost. I have passed the idea on, but I will not be organizing it!

Some people send out information packets once they receive and rsvp with all that info. or perhaps send it out with your save the dates!

i blocked at one hotel - and said i would provide transportation to and from church and reception from the one hotel - that's it

i think it is fine if you give info on one or two hotels - but that is it you have to do- if people want to stay in the city they will figure out to get to oyur wedding

as for oot box- only poeple getting them are the ones stayign at the hotel i blocked - otherwise too complicated

i might have OOT bags for folks as they leave the wedding-but that depends on budget and time closer to the wedding.

as for my 90% OOT guest list i made a website too (christianandfrank.com) and we paid for a shuttle to make loops to the hotels we blocked rooms at. for the most part though, i can't worry about it. everyone is an adult, i've done a lot to help them and make it easier, and that's all you can do.
