OOT guests

OOT guests

What is everyone doing for thier out of town guests? I know you can book a certain number of rooms in a hotel but how does that work? Do you have to pay for all the rooms? Do they give you a discount? Can they provide transportation like a bus to the reception hall?

I blocked off rooms at The Wingate Hotel on Stewart Ave in Garden City. I blocked 20 rooms (I think) at a discounted rate ($139 I think). They offer added discounts and 'freebies' to you. For example, if 15 rooms get booked, you get 1 free 15 pass shuttle. Odd thing is it's probably 2 people in each room, which is 30 people, so 1-15 pass is not that beneficial. Their rate for more shuttles is $179 (I think--sorry, I am on antibiotics and my brain isn't working well ). I think you can choose a discounted rate on a suite instead of the shuttle.

Call whichever hotel you are interested in and see what they offer. Not all hotels offer a shuttle.

My guests will be paying their own way for the rooms.

It depends. The Inn at East Wind wants an actual deposit to hold rooms. The next closest hotel allows you to block 10 rooms without a deposit. They provide a shuttle to East Wind if 15 rooms or more a booked. If not, they still provide a shuttle, but for a fee.

You just need to shop around your reception site and check out the hotels to see what their individual policy is.

We booked a block of rooms at two hotels (one more expensive than the other) and gave the guests the info and those that wanted to reserve rooms did so. They have until a certain date and then the hotel stops holding the rooms for you after that date.

We booked a shuttle bus separately.

We Booked the Courtyard Marriott at a discounted rate. We choose 15 rooms half king size bed the other half two queens in the room. We are not responsible for anything. If all the rooms get booked and more are needed they add it to the block of rooms for same price. If less are needed they resell them at regular price. We got a shuttle bus for our reception thru the hotel.
