ok so i need some tips badly, lol. i have put together a guest list on excel spreadsheet but it wasnt complete nor was it as i wanted it! just the other day i started typying every guest down on the spreadsheet just to get an idea of how many guests we have so far on our list. i now want to get more neater and actually put a proper list together on excel spreadsheet but i need some tips and was wondering how you girls put your guest list together on the computer (excel) to stay organized?? did you guys write out all names full first and last names and the kids names?? or just keep it simple with mr and mrs smith and how many people from that household?? or how did you do it.. i definately need help, as you can see im a dummy when it comes to this and i need ideas to stay organized in the easiest way how to put this guest list together with how many kids, adults are coming and all! :)
id love to see how you girls did yours if your willing to share... =]
PS: im more of a handwriting everything and i basically wrote out my guest list on paper and now want to type it all onto excel! =]

Re: PLEASE HELP! =[
when i started the guestlist i wrote it down on paper, i like having it in a book to look at and take with me if I needed to and it did come in handy since i had to bring the guestlist to my parents and IL's, and make any necessary changes on the paper.
I couldnt write just Mr. and Mrs. bc I would have too many people with the same mr and mrs. last name, so i had to write out the full name. After I had it written down on my sheets of paper, I just typed it all into excel. Each line I just wrote the couples name we are inviting plus their address, or if it was a single person wrote that persons full name only. We didnt invite kids so didnt have to worry about this. ANd when we invited more than just one couple from a household, they were their kids who were over 18 so we sent them a separate invitation, and since they got a separate invitation they were listed separately. Plus it was easier to keep the guestlist count this way.

Re: PLEASE HELP! =[
yeah i have a guest list on paper but would like to start typing it into excel now and than printing it out. i found this nice spreadsheet template so i am going to try to use this and fill it out and than print and just have it with me in my book and i can always make changes and add with my pen! :) as well keep my handwritten copy i have done already! =] thanks girls!
what i am doing is i am just putting it on excel like this... Mr & Mrs. Armando Taveira and their address plus the # of guests from that household if they have kids.. i am keeping it simple just like that, since when its time to mail out the invitations they will be mailed in that order as Mr & Mrs. Armando Taveira anyways.. right?? let me know what you think!!

I used LIW's Guest List thingy and then exported it in to excel. It exports all the fields to excel so you can delete the ones you don't want and sort however you want to.

Re: PLEASE HELP! =[
This is my layout
Column A Everyone has a 1 so I know how many invites I need Column B How many guests there are (so I know my headcount) Column C Formal name of first guest(s) (Mr. & Mrs. John Smith or Mr. John Smith) Column D & guest (for unknown dates) or the SO (& Ms. Jane Doe) Column E Address Column F Apt # or 2nd line of address Coumn G City Coumn H State Column I Zip
Then I did another list on another tab with just the names of the guests informally for the place cards. It's just one column with the list of guest names (John & Jane Smith or Adam West & Guest ) .
It was great for keeping track of RSVPs as well. And you can do your mail merge for the envelopes (unless you're having calligraphy).

Mine is a little more complicated because since my RH gave me a good deal (kids 0-4 free, 5-12 pay a certain amt, and 13-20 pay a certain amt,) I have more columns so that I can get an accurate number, then a total at the bottom. If you want me to send it to you just FM your email.

Re: PLEASE HELP! =[
yeah thats the same template i just downloaded last night and will try to use and see how that works. it looks like ill like this template because it even has a section for the rsvp and all and helps you stay organized when you than get the rsvps and you just put how many guests are coming and so forth.. so lets see what happens! the thing is it just gets soo confusing cause i also have to stay organized and keep track of how many kids per household are coming and i am inviting and some will be free but will neeed a seat in that table and others will pay half price so i have to count them as kids not full head.. ahh, so i might just add my own columns than and add a kid section or do a whole different list just to keep track of the kids or something.. grrrr!

Re: PLEASE HELP! =[
I sat down with Dh and came up with everyone we wanted to invite. We put their full name as it should be addressed in the first column, the 2nd & 3rd columns had their address and the fourth column we counted how many people we're inviting (so you can add it up and get the full amount when you're done with your list). It wasn't as bad as it sounded and we still use that list because after the wedding we put the gifts they gave in the next columns and whether or not we sent a thank you to them.

Re: PLEASE HELP! =[
that was very helpful, thanks so much! =] i like how you did a # 1 for each one to stay in track of how many invites you need, i actually am doing something similar to that.. instead how i started doing last night was...
A - Mr. & Mrs. B- Last name C- First name D- Address E- City F- State G- Zip H- Country (since i am sending invites to family in portugal and france) I- # of guests invited J- RSVP # K- save the dates L- thank yous
so basically to keep track of how many invites i need itll be easy cause each row will have the familys name and their children so each row is per invitation and to keep track of the kids i have on the colomn of how many guests invited i am doing.. example - 2 adults - 2 children and im hoping this will be good enough where itll keep me organized!

HI,
If you send me your private email I can send you a spreadsheet I got from a wedding book i purchased. I haven't used it but it looks really helpful. I like to keep my paperwork hand written.

Honestly Martha Stewart.com has awesome spreadsheets for budget, table seatings, and guest lists. I would just sign up with them for free and check that out. It will save you the headache of using excel. I really LOVE LOVE LOVE the table seating part. I can't wait to use that! You can move the tables all around and change the shape and number of people on them. Check it out!

This is verrry simular to what I used... But I also added STD sent, and # attending... I think (and hope) that it will help me get a quick accurate number right before the wedding...
