you pick a hotel near your RH that your OOT guests can stay at for a set rate, this allows you to have a shuttle to bring the guests to the RH or to do OOT boxes...it just makes it easier for your guests

I called about 10 hotels and told them I was looking for room blocks. Then went to see each hotel and met with the sales managers. They give you a tour and talk to you about rates. I now feel like I talked to so many hotels I am an expert.
Important questions:
1) Do they have your date available? 2) How much per night for your guests? 3) How many rooms can they allow you to block? (I need about 30 and the Courtyard Marriot won't allow more then 20 and after 20 you have to renegotiate. They Holiday Inn however would only block out 20 but if I went over they would allow more at the same rate, if they had the rooms available. The Hyatt blocked me 30 rooms.) 4) Do you have to guarantee rooms and if so how many? Its often a percentage, but not everywhere requires that you guarantee rooms. 5) What happens if you go over your number of room blocks? Do you have to renegotiate? Do they give you more rooms based on availability? 6) Do they have a bar and what time is it open until (if you care about this, which I do) and do you have to pay to keep it open? (Again Courtyard Marriot I would have had to.) 7) Do they give out gift bags for you, is there a fee? 8) Do they provide shuttle transportation to the airport or train station? 9) What is the cost of your suite? Often they will comp it, not at the Hyatt however.
The Hyatt was the most expensive but it had everything I wanted and is one of the nicest.
Also don't be afraid to take prices back and forth from one hotel to another. I got our room blocks down by $10 a night from the original quote by doing that.

Re: Room Blocks, check
Also don't forget to ask if they charge your guests when they book their room or if they put a hold on their card etc- Danford's does not * just an fyi*
