So if you make the minimum for your hall 2 weeks before...
when you make your payment...
And let's say the day of you have a few no-shows and you end up under your minimum.
What happens then? I know that when you meet the minimum, non-house vendors are half price, kids 5 and under are free, kids 10 and under half price. So let's say day of, I have a few no-shows and I end up under minimum. Do I owe them more on the day of for those extras?
Does this make sense?
Thanks!

if you make a payment for your minimum 2 wks before hand, and they have all the $$$, then they wouldn't charge you extra on the day of if you have no-shows, cause in reality they are making $$ off the fact that you have already paid for a certain # of plates, and they don't have to serve as many.
we low-balled our count 2 wks before....our min. was 100. so for our count we told them 105, plus 1 child, and 5 vendors. then about 2 days before the wedding....i added an additional 2 ppl because i wasn't sure if they were going to come.
on the day of, we had 2 no-shows, but we had already paid for them, so the RH made money off those 2 uneaten plates. so if your min. was 100 and you paid for 102, and 4 ppl didn't show up, they STILL are making money on the 4 plates, that you paid for but they don't have to give out, even though its 'under' you min.
my BM told me 'remember, you can always ADD to your count, right up until the day of the wedding, but you CAN NOT take away, so keep that in mind when you give us your head count'

So essentially, let's say when I make my payment I really only had 123 yesses, and my minimum is 125...so I can just pay them for 125? How would they know if those 2 were no shows anyway?
Is all this thinking making any sense?
So basically when I give my final count, I give them how many adults, how many kids (of what age) and then the vendors (which ones and house, which are not)....that's how it works?
Thanks Melissa!

lol--you're making sense.
they will no about the # of ppl based on the # of dinners they have to send out...they count them. also when the waiters are getting food orders from each table, they report back the # of ppl at the tables to the maitre d'.
if your min. is 125 and you are just 2 short or so, i would probably just pay it. there's not much you could get out of them for like 2 or 3 unused place settings....but to save you some $$ it might just work to count like the kids & vendors in your regular count.
like for example:
if you were paying $100 a plate for adults and $50 for kids. and you were 2 ppl short...insteaed of paying for $100 x 2 empty plates, PLUS $50 for 2 kids, that's an additional $200. but if you just included the kids in the regular count, you would pay $100 each for 2 kids, and save $100, by not paying for them outside the head count. (hope this makes sense!)
talk to your BM and see what they say, but if you are not making your min. they will likely include the kids and vendors to make up the difference

Thanks Melissa! I guess I was just thinking, if I'm a couple short, I'd tell them I made exactly my minimum anyway. But I guess it's just easier to work with them, huh. I just wanted to exactly make my minimum so that our vendors would be half, and kids would be free/half. I dunno, probably doesn't make much of a difference. I don't know why I'm so clueless!
