Here's the question : Which vendors are you paying for (as part of your head count)? Is there a rule of thumb?

Re: Vendor/RH Question
the photographer & videographer (plus their assistants) and all members of the band (or DJ)...they're the only vendors that will be physically present, so they're the only ones we're paying for

Re: Vendor/RH Question
That's what I thought and then someone told me that I shouldn't pay for the DJ because in actuality he'll only be there for 5hrs and that they should eat before they come. You would pay for you photographer and assistants because they will be with you all day. So with that statement from a former bride I figured I'd ask all of you what you were doing. You all always give me the best advise.

Re: Vendor/RH Question
I think all our vendors were house vendors and i think i recall the BM saying they feed them. Anyone other then the house vendors was 1/2 of what the plate was.

Re: Vendor/RH Question
check your contracts...vendors who will be there on the day of the wedding included specific instructions about serving them meals. Some DJs don't mind not getting a meal, so you should definitely ask yours to be safe.

Ask my RH or ask my DJ? Are you asking you DJ if he wants to have a meal or are you just including them? I think I'll feel silly calling and asking him should I include you in my headcount.

Re: Vendor/RH Question
You feed the photographer, videographer, any assistants, the DJ, the MC and all the members of the band.
The vendors are counted separately because most RH's offer some type of discount, whether it be 1/2 or 1/3 or 1/4 the guest price.

i included all of them no matter what, if they are hungry i dont want the Rh to say sorry we dont have a meal for you. My dj is free bc they are a house vendor. Then i have photographer and videographer and they are half price

Re: Vendor/RH Question
I'll have to call my reception hall to find out if they are full or 1/2 price

They should not be full price because (1) they don't eat as much as a regular guest (no roaming thru the CH) and (2) they don't drink alcohol while on the job.

I'll just include all of them so that's one less thing I have to worry about on my wedding day.

they are most likely 1/2 price, i never heard of an RH charging full price for a vendor. Its either free or 1/2 so dont worry.
ALSO dont forget that if you are just a little bit under minimum then your vendors get counted to your headcount and this way you dont have to pay extra for them

Re: Vendor/RH Question
I do recall in my DJ contract that it said we have to provide a 'light' meal for them (by light, not sure exactly what they mean - I guess maybe not have to give them a full course like your guests, but it's just easier to include them in the headcount and give the regular meal). I know I have a DJ and an MC, and they mentioned how there's a 3rd person who does the slideshow for them, so I'm going to include that in my headcount.
I'm not sure about the photographers - I don't recall them mentioning it or calling for it in the contract. So I'm going to look into that.
I can understand providing a meal for the photographers/videographers considering they're with you at the ceremony and reception, so it's usually most of the day. But I think it stinks that some music entertainment demands a meal. There really is no reason they cannot eat before they come!
Anyway, I figure I'll go over the list with my RH and see what they say about what they will provide them and who I should include. My photographer/videographer is a house vendor for the RH so I'm sure they can tell me about what to provide for them.

Re: Vendor/RH Question
It's nice to show extra appreciation for all your vendors and give them a meal even if they're there for only 5 hours.
I fed all the vendors excpet the florist and being that I was under my minimum they included them on the head count to make it better for me.
Otherwise since they were house vendors they'd be 50% of what a plate costs.

sometimes dj's have more than one party a day. I know when we were picking a dj and mc, we saw that some had to do 2 parties that day. They had a daytime event and then an evening event they had to go to right after.
Also as far as light meal, yes no matter what the RH doesnt give vendors the full entree that your guests will receive. Since they have to work during that time, many of them are given food from CH and that sort of stuff.
