when should we send out our OOT guide? (poll)

Background: FH's family and many of our friends are from OOT, most a plane ride away. We sent out STDs a year in advance, and blocked hotel rooms. 14 are booked already for 2 nights each (FH's family, a groomsman/his fiance, and one of my relatives) and we are pretty sure once those run out the price will go way up and/or people will have to find a different hotel. None of our friends have booked yet and there are still lots of other pending OOTers.

I put together a really nice 'OOT Guide' using photoshop with information on the hotel, airports, cabs, car rental, local restaurants near the hotel, things to do around the hotel (in case people get in Saturday AM and have free time), and then a small section on NYC, since FH's family members plan to spend a few days in the city first.

We are planning to send our invites out in mid-May, but we'd like to encourage people to book ASAP so we can have an idea of which OOTers are planning to come, and so they don't get screwed if they leave things to the last minute.

When should we send this out? (We are planning to e-mail it out as a PDF, and then include a slightly revised version in our OOT baskets at the hotel)

Oh, and most hotels will allow you to add more rooms to your block for the discounted rate as long as its early enough.

We sent our STDs out in July with our e-party invites. Our wedding is a Sunday and while many of our friends are off during the summer, we wanted to give people lots of notice that it was going to be in NY.

I'd like to have time to add more rooms to our block if we're going to need it, but I'm not entirely sure that we will be able to. We blocked rooms at La Quinta back when it was Wingate, and they are honoring our old contract but they raised the prices when they changed management. Our group rate is $139/night and on their website it lists $199/night as standard? Plus, it says no rooms are available for our nights. It could be because we have the rest blocked, but it makes me nervous so I want people to book ASAP
