adding people later on?

i have a table of 10 that is probably going to flake out on me completely and i dont want to include them in my final count

my contract says deletions or additions will be accepted up to 48 hours prior to event

do you think it's possible for me to tell them day of of the changes? i just dont think they're going to come and i can't afford to pay for 10 empty seats

I think you should leave them out if you think they are going to flake. We had a couple people not show and I wish I never added them to our final numbers. Or maybe only make that table a table of 4 or 6 and then add additional chairs if they show?

Definitely don't include them. We told our venue 6 people short of our total and then the day of, we actually had 3 no-shows and they just added settings for the 3 people that did show. It was no big deal and we didn't lose any money. Definitely do NOT include them in your total. You can always add people but you can't subtract

you can always play it off as these people were flaky and never gave you a definiate answer. but now that they are there, just give them a seat and settle the money that you owe Crest Hollow that night. Ask them if they will take cash on the day of.
Better to not include them and have them not show than pay for them and they stiff you

yeah that was my original plan i just got nervous when i read the contract. but realistically, they're not going to say, no the guests cant come in, right? lol

as long as you make your minimum you can tell them they day of. but keep in mind if you are going to exclude the entire table....
youll need to make sure you have place cards for them just in case
youll have to exclude that table when you give your table diagram and count (so if you have 15 tables that would be number 16)
youll have to be certain someone remembers to tell them that you need a table added and where you want it added
and youll need to have a spare centerpiece

dont forget...give smaller vendor count - they never charged me for all of mine

excellent! thank you for this! - i told them only to feed the photo/video - 3 people total. band doesnt want to be fed and my DOC is leaving early so we're good to go!
