Bands set up way before your guests get to the reception hall. I love Times Square Orchestra..great band also love Code Bleu.

Crashing....
We had Code Bleu at our 10/1/11. I cannot say enough of good things about them. They were fantastic and we received SOOOO many compliments on them. People were dancing the ENTIRE night. During dinner, the piano player (I think) had 2 tables of my college friends singing to A Whole New World and my DH RAN down the dance floor to join them. After our reception, Donna came over to thank us and say what a great time they had at our wedding. That made me smile.
And yes, they set up and are tuned before the guest enter the reception room. I think they were even setting up before the Cocktail Hour started.

we are using Time Square Orchestra. they set up partially before the ceremony but since they are doing the ceremony music, some of the instruments will have to be set up during the cocktail hour. They did my sisters wedding and 2 other friends and they were amazing- kept everyone dancing.

We used Soul Revival and they were fantastic!! They set up prior to the reception (obviously we didn't want the guests to see) and played our ceremony/CH/reception. DH and I were thrilled with everything they played and they had everyone dancing all night, which was exactly what we were hoping for. I cannot say enough good things about them!!! Good luck!
