blocking rooms

when you go to a hotel to block rooms, how do you do it when youre not exactly sure how many people are coming/will need rooms? cuz i thought u had to include a card from the hotel in your invites that indicated that rooms had been blocked and where etc. is this true? and then what happens if i use my credit card to block rooms and then not as many people need rooms as i thought? do i get charged?? ack!

Re: blocking rooms

When you block rooms you'll have to guesstimate how many guests you think will be staying there.

I blocked 20 rooms for Friday & Saturday even though I know only like 10 people would be staying on Friday night.

They don't need your credit card, they block the rooms for you until a certain date & once that certain date is passed the rooms are given up at no cost to you.

They give you cards w/ your specific code on them so when people call they give the code and know the price you were quoted at.

You insert them into everyones invite. (or at least I am just to give people an option)

Most places I looked didnt charge you for blocking the rooms, even if they weren't taken in the end so we did the maximum amount we thought we would need. There was nothing to lose...

Re: blocking rooms

We blocked rooms at the Inn at East Wind last year when we booked because there are only 50 rooms there and when we booked there was already another wedding in another building. We had to put down 1K for 10 rooms and then as they got filled up they added another block (no extra charge) We will be given the money back after the wedding, but because it's a small Inn they want to guarantee that those rooms are used so that is why they ask for the money in advance. (It is about half of the cost for 10 rooms)

So now all of those rooms are booked at the Inn, so we opened up a block at Best Western down the road. It is a block of 10 and they will add another block if need be. Guests have up until 30 days before the wedding to get the group rate. Usually that is how hotels work.

Good luck!
