Feeding vendors at reception - UPDATED -need advice

Original post by christine2010

i am just wondering how many vendors you are feeding at the reception?? & if you would share how much the hall is charging you per vendor.

TIA

update:

i ask because we have to pay for 12 vendors!!!

8 band members & 4 for photo/video.

my hall said 2/3 which would come to $75 per vendor so thats an extra $900. plus i am 99% sure we are going to be 5 people under our guarantee. when my mom asked the other day if we can use part of the 12 people as the 5 people we are going to be short the hall said no.

my parents have been yelling at me about this for 2 days & i can't take it anymore.
what should we do?????

I know you should at least offer it, I will be feeding my photog, video guy and DJs. I think my hall is half price for vendors, free if you use in house vendors.

They can also eat during CH, but I think the proper thing is to at least offer a meal, I think a lot of times they say it isn't necessary and will graze at CH.

True, some might say no. But photo/video people are working a LONG day and should get a meal. The band might decline though which would work out for you!!

I think they are 1/2 price. The only vendor I need to feed is the photographer. Our friend is doing our music and I might put him in as a vendor so he can eat for half!!!

it depends on your agreement with the hall & your vendors. our hall is charging us half the price for feeding vendors and at the same time, i had most of my vendors put in our contract that i do NOT need to feed them. (i was able to do this with my 8-pc band, photo & video. i don't mean to be insensitive BUT i am paying a lot for their services already on top of the tip i'm also supposed to give. FI & i are planning on giving them sandwiches instead.)

I too am paying 2/3 to feed my vendors. Between my band, DJ, lighting guy, photo/video I have... about 10 or 11 people to feed.

Imo, and from personal experience, you should feed your vendors. SOMETIMES at SOME halls if the hosts don't provide food for the vendors they lay out extra's in another room for us to eat. This only happens though about 30% of the time so don't count on this.

we have no problem feeding the vendors, its the cost associated with it that is the issue.

yeah, typically it's 1/2 price so hearing 2/3 is a little harder to handle. I understand though, my hall is the same way and I doubt they will count towards my min. if i'm under.

Then I would definitely play hardball with the RH. You're spending a ton as it is, if they won't let you use some of the vendors to make the minimum, the least they could do is cut it half cost for the vendor meals. How about emailing the vendors to see what they preference is, they may decline and say CH food is fine enough?

If they're totally uncooperative, I would tell them it will affect the RH gratuity or any extras you were thinking of adding. If you have added something, threaten to take it off.

Good luck.

3 photo/video
2 dj/mc
2 doc/ asst (?)

i think thats it?!

DOC & asst--House Vendors=FREE
2 photogs--non house vendors=1/2 price
1 videog=1/2 price
DJ, MC, Percussionist, asst, light guy=1/2 price
probably 2-3 bagpipers too

so I have to pay for 8-11 vendors

photog + asssist
video + assistant
dj
emcee
DOC said she is leaving after intros, so I dont have to worry about her.

so thats 6 people at half price since none of them are in the halls list of recommended vendors

eta i also want a percussionist and a photobooth but cant afford it right now. i guess i have to take their meals into account too.

kids & vendors are half price once we meet our min. i believe they can be used towards our min, but then we're paying full price for them, which kind of *****!

You should confirm exactly what you can or cannot do with the hall. Because you should be able to use some of those 12 to make up for the 5 you will be under. The only thing is that you have to pay full price for those 5 and the vendor cost . They shouldn't make you pay vendor prices for the 12 and then 5 additional plates!!

I have no idea about this. I really should start looking into it though!! I have to tally up the amount of people there. But my hall says that they eat at 3/4 the price. it seems a bit high to me since they won't be drinking or eating the cocktail hour food!!

i think we will have 7-8 vendors .... RH is charging 1/2 price for them and if we don't meet the min, we're allowed to count the vendors in that number.

regardless, that's still a lot of $$$

Ridiculous they won't let you count it to your minimum...
