So we guaranteed 140 at our hall, and we didn't realize that we'd have this many guests to invite!! We have 129 addresses, which equals about 260 people!! I think definitely there are 40 who won't come, but that still leaves us with 220. Holy moly. Should we have guaranteed more?????

I wonder if it is too late but call your venue and see if they will drop the price per head if you up the guarantee.

Re: holy moly
I doubt you will be able to renegotiate to a lower per person amount if you raise the guarantee. The real question, if 220 people go, will your room be able to accommodate all of them?

My guesstimate is that 180 will go. Yes, the room will be fine regardless...whew!!

They might not drop the per person price, but maybe they'll throw some extras in if you have far more people than you guaranteed?May be worth asking anyway, especially if you have good rapport with your BM.
Good luck!

OMG this happened to me. We guaranteed 125 and my list is at 220. I'm hoping at least 40 people won't come, because 200 is a bit crowded for my venue. But my budget is now going to go up by at least 10k which I am not prepared for at all!!

You should go back to them and say, 'so if we did decide to raise our minimum to X, what could you do for us?'

Yeah, but that still leaves us with 208! LOL. I am not freaking out, though. It'll be okay. I think we'll end up with around 170. Flowerfield said the next increment at which they could decrease the price would be 180 (they told me this without me telling them my dilemma).
