I keep reading about the hospitality suite in between the ceremony and the church. how do you go about setting it up. Do you have to get permission from the hotel? Is it just booking a room and filling it with drinks and snacks?

It can be whatever you want...
I am having one at my hall prior to the ceremony - for a 1/2 hr. It's at the same place as the reception, so the cocktail hr starts immediately. My hall is taking care of it -- it's actually included in the price of having the ceremony there.
I've heard of people doing it at someone's house -- inviting OOT guests to stop there if there is time in between.
Or - you cuold do a room with drinks and snacks at your hall or at your hotel for OOTrs if it's close by...
Talk to your hall and the hotel and get ideas form them. Banquet managers have lots of experience and can give you multiple options!
