I'm so lost with hotel blocks, a few of my guests have asked me about hotel reservations and I've heard many of u having hotel blocks. I def would like to offer my guests these accomodations but I have no idea how they work.
Do you call hotels and u pay the whole amount upfront or do the guests pay upfront?
If u do pay upfront and guests decide not to stay in the hotel, do u lose the money u've paid?
How would the guests know about this?
How about if you reserved too many rooms, do hotels reimburse u?

I would search around because there are hotels where you don't have to pay to put rooms on lock. Our hotel (Courtyard Marriot - Farmingdale) doesn't charge you to hold the rooms and doesn't charge you for any rooms that are not booked before the end date. There were also incentives for more rooms booked (10 rooms booked = free shuttle service to and from venue, 15 rooms booked = free room for the night or discount on bridal suite).
The benefit to having a room block is the option for your guests who would like to party and not have to worry about driving all the way home (especially if the venue is far from their home) and also when rooms are blocked they are usually at a lower rate than if they booked on their own. You could let your guests know about the room block through an insert in your invitations, your wedding website or word of mouth.
We started off with a 15 rooms blocked and once we needed more rooms we would call and add more. We had a total of 19 booked.

I'm pretty sure that's for every Courtyard Marriot so if you have one near your hall definitely check it out. I have never had an issue with a Marriot hotel so I highly recommend!

Yeah, the one in Farmingdale is only 20 min from my venue, which is not bad at all.
When you reserved the rooms, did u call them or reserved online? did they ask u for ur cc# to hold the rooms?

I called them to set up the block. Just let them know you want to block rooms for your wedding and they are going to send you some paper work to fill out (general info about the wedding). The only thing they would need a CC for is if you are reserving your room for the night - not for anyone else's. We booked our room initially for the bridal suite and when we hit the 15 rooms they just reduced the rate for us.
They are going to ask you how many rooms you would like to initially block and then how many of each type you would like (2 Queens or 1 King).
When you call, ask to speak with Randi. She was soooo helpful during the process and answered any and all question I had leading up to the wedding.

We blocked rooms at Hampton Inn in Westbury/ Jericho, rooms are $139per night, & include a Deluxe breakfast, they also offer a comp shuttle to & from CLM (which is 30/40 minutes away)...

We set ours up with the Marriot too but out in Coram.We held a block of 10 (it was free) and as those fill up we will block out more. It didn't cost us anything and they set up a website for us that I linked to my wedding website.
We went to hotel first and spoke to someone because we werent sure about the distance from the hall so we were out and about anyway. If you know what hotel you want to go to just call them.
We also got a free shuttle but only for one trip each way and its a van.

Same rate. Maybe they do have...and it's one of those things that it's we wont tell you until you ask. lol. I am going to email my sales person today to ask and see.
