Hotel blocks

Can someone please let me know how this process works? Do you have to pay to get the rooms? What if no one books a room? I have no idea how it works! Thank you!

I'm going through this process right now, too, and it's definitely a learning experience. :) First, when you call, they'll want to know your date, venue, and how many rooms you're looking to block. Many hotels will give you a non-guarantee contract- they'll reserve a set of rooms for you, but after a certain date (usually a month before) they'll release the rooms that have not been booked, and you're not responsible for paying for the rooms that were not booked. Other hotels will have you sign a contract that indicates that you're responsible for a certain percentage of unbooked rooms. I've been warned away from that- you could be on the hook for quite a bit of money, and there are enough hotels that don't require this guarantee, that you should be able to work around this.

To make sure the rooms get booked, you'll want to get a sense of how many hotel rooms your guests will need (how many OOT guests do you have?) and what their budgets are. Then, put the information about the hotels where your guests can access it- on your wedding website, or maybe on an information card with your invites. And make sure the guests know what the deadline for booking is, so that they'll book before the rooms get released.

Hope this helps!

My advice, contact Kleinfeld Hotel Blocks. I've been dealing with Sara from there and it's made things so easy! You fill out a form on their website (I don't remember it but you can google Kleinfeld hotel block) with your name, your date, venue, etc and they contact all the hotels near your venue to set it up, they email you the contract and you sign and email back. It was very easy and stress free.

it depends on the hotel. we booked at the viana hotel and you can book 10 rooms without having to guarantee anything.. if you block any more than 10 rooms, then you just have to guarantee half of them book. We blocked 30 rooms and had to guarantee 15 booked. Also, if 10 rooms book then your room with your FH is free :)

we also didn't put any $$ down or anything to book the rooms

Nope! Idk HOW it's free and I keep waiting for the other shoe to drop, lol. Like, I don't know what they get out of the deal. But, it worked for me!
