how do hotel blocks work?

do you give them an estimated amount of guests? do they have a set number of rooms to block? how long do guests have until they begin to give away the rooms? what happens to the rooms that arn't booked, are you responsible for them?

sorry, i'm clueless.

Most hotels have a certain number of rooms you are able to block at one time. Some places might be 10, some might be way more (one hotel blocked 40 rooms for us).

They should give you a better price for your block as well. Basically you call and ask to set up a block, know how many rooms you want and ask for it, and see what they'll give you. Negotiate with them on price and # of rooms if need be!

Most places will release the rooms 1 month prior to the date of the event, so guests need to reserve by that date to be in the block. Once the block is full, if there are more rooms available, some hotels will increase the block, some won't--good question to ask!

Also, sometimes you get a shuttle if you do a certain number of rooms, or get a suite for a discounted price (we got a suite for the block rate of $129 since we filled our block at one hotel).

Some hotels require you to pay something but most don't. Neither one we used did. You basically sign a contract saying they will hold X number of rooms for your block, and then you let your guests know about the hotels and block code (they need this to get the rate and into the block!)

edited for clarity!

me neither! but I found an old post that cited discoverlongisland.com ... you can put in that you are searching for hotel prices and they do the legwork for you! But now i'm not confident in blocking.. thanks for the thread!

I was thinking about including a printed note in the STD asking those interested in booking a hotel room to email me. Then I can gauge who and what price is appropriate, block and put that offical info in with the invite?

What do you think?

I think it would be ok, but it might be even better if you just went through the list yourself and estimated.....we actually sent out the hotel info with the STD b/c we have a ton of OOT guests and wanted to make sure we had enough rooms blocked....if you don't have a lot of people, it's probably fine to send with the invite.

I went to discoverlongisland.com, and emailed them. I told them the dates I wanted, and aprox. how many guests I have at the wedding. They conctacted all the hotels and one by one, the hotels emailed me their quotes. I blocked 10 rooms and they will be released 1 month before my date if they are not reserved. I am not responsible for any rooms, it's just a curtosey these hotels hold the block for a lower rate to try and get your guests to book with them.

HTH!!!
