I can't just avoid them (as much as that is the easy way out..), b/c at one point we thought we were going to book with them, so we made an appt to see them again and possibly sign a contract. Since making the appt however, we have seen another vendor that we have decided to go with. So I need to call up the first vendor to cancel....but what should I say??
I SO hate letting people down...one of my weaknesses...

Re: How do you tell a vendor...
Honesty is the best policy. I would call them up and let them know that you were very happy to meet with them and think very highly of them, however you and your FH have decided to go with someone else and therefore you will need to cancel the appt. You'd be amazed at how professional a lot of the vendors are. Chances are they will appreciate your honesty but of course it's always a regret to lose business. If you think highly of them be sure to let them know and mention that you will pass along recommendations to other brides.
Good Luck!!!!

Be direct. Tell them that you decided to go with number two. Don's be wishy washy because they will assume that means you want them to haggle on price. Also, for what it is worth, while this is difficult for you, as anyone in a service business can tell you, that the second visit and using someone else situation is commonplace.

they should respond professionally. if not, then you should be glad you did not go with them!

Re: How do you tell a vendor...
Why dont you call and leave the message on the machine when they're not in yet. I've done it--Ive had to do it so they ALL would STOP calling--and you can say something to the effect of:
Hi, this is 'Mary' and I want to thank you soo much for meeting w/ me and 'Peter', but just so you know we made a decison and will be going w/ someone else. Thanks again! ---Click!
Its really quite simple!

Re: How do you tell a vendor...
It is helpful for them to know why -- price? style? This way maybe they can improve their offerings to others. JMO.
I had to call my DJ today and tell him the guy he sent us for our wedding was a huge disappointment. It wasn't fun but I thought he should know.

I make my FH make those calls. lol! But seriously, if you want to take the easy way out, but you don't want to cal, send a note. Let them know you thank them taking time out of the scehdule to meet with you, but you've decided to go with someone else.
