I called first, but every place said to just swing by anytime, no need for any appointments. So, it can go either way. If you call first, they'll give you their prices, that way if it's too high for you - saves you a trip to see it!

I called first as well. I needed two suites next to each other so I wanted to make sure they could accomodate us with that for two nights in a row.
When I called I was connected to a reservation hotline, but once I told them I needed to block rooms they connected me with the booking manager. They scheduled my appointment to see the suites, and to sign the blocking contract.

Sometimes there is someone special who arranges things like this - like it might fall under conference mgmt instead of regular booking.
I would call - the place I used I could only do things during the week 9 - 5...but I went in on the weekend and was able to see the room, just couldn't block them off.

I called first - or emailed the hotel itself. The manager typically does blocks - not just the person at the front desk...

Re: how to go about blocking hotels?
If you are looking for a block of rooms typically its 10 or more rooms depending on the hotel. You would need to speak to a sales manager.
I used to work at a hotel and I know that you need to sign a contract for a block of rooms to secure them. I reccomend not doing that because in most cases if all the rooms are not reserved they may have the contract signer pay for the unused rooms.
This is just from prior experience. I know we tried to get brides not to do a block for that reason. Another thing is sometimes the rate given is higher then a rate someone finds through say tripple A and turns into a mess.

I signed a contract with Wingate Inn. They blocked a set amount of rooms and the contract stated that we are not responsible for unbooked rooms. I guess it depends on the hotel.

I also had to sign a contract for my hotel when I blocked off rooms. I had to guarantee a certain amount to get all the rooms we needed because i have tons of OOT guests.

Re: how to go about blocking hotels?
I suggest trying to get a block of as less room as possible. Some may start at 8 and some at 10. If you are for sure that 10 people are going to book the rooms then you should be fine. I would not go over the minimum number of rooms that a contract states. Most hotels will let you add rooms as you go if you see more people wanting to stay in the hotel.
I would call people you think are going to want a room and just double check with them.
