where are you doing it and how does it work. Do you pay in advance? NO Did you visit each hotel before doing so? Yes What happens if you need more/less rooms when the time comes? You let them know in advance if you need more. There is no penalty if you don't fill them all

Re: If you are booking a block of hotel rooms,
I started by identifying my choices and contacting them by phone to 'discuss'. I was able to immediately realize that no one provides shuttle buses to my ceremony or location - so I was a bit better informed. I spoke with the managers, and arranged for a walk-thru so I could see the rooms - haven't done this yet (I am really only interested in the suites since that is where I plan to get ready with my BP - need to make sure we have enough room). They all had pretty competitive prices, so that isn't really an issue. No money from me required, but they request that I block a minimum of 10 rooms to hold the space. And getting more rooms should not be a problem - they'll love you for it.
Personally, I don't need to see the inside of the rooms that my guests will stay in - - I'm not looking at 5-star accomodations, but I'm also not considering seedy hourly-rate places either. I'm a no-stress bride - so I'll assume the quality of the rooms based on the name of the hotel chain. Ignorant maybe, but I refuse to stress over these details. IMO, we're on LI - so you can almost assume a certain level accomodations.
Also, I had 2 of the 3 places I spoke with offer to throw in a room for me and FI for the night of the wedding for free if we put our OOT guests up there.
Good luck!

Re: If you are booking a block of hotel rooms,
We blocked rooms at the Huntington Hilton. I didn't put any money down, just had to sign some paperwork. We booked the max of 30 rooms per night (Fri and Sat). They will let us know when they are filled up and we can add more, or if they're not filled 4 weeks before my wedding, they get released to the public.

i'm giving them the choice of wingate (preferred - and it is really nice there) and red roof if they want to save a couple of bucks.
