organizing guest list

Its time for me to seriously keep a guest list

how are you ladies organizing yours?

on computer? with what and how?

on paper? index cards?

What do you include besides address?

Re: organizing guest list

I had an excel spread sheet
2 tabs, 1 bride, 1 groom. I subcategorized the guest:
IMMEDIATE FAMILY
MOM'S SIDE
DAD'S SIDE
FAMILY FRIENDS
FRIENDS
WORK
and I subtotaled each group and then added the two tabs together.
I also gathered addresses as I could, that way when I was ready to do invites I had 90% of the address already in

Once we were ready to do invites, I copied and pasted all the names into another tab. I separated it into bride & groom (eventually though I sorted by last name for convienence)

columns were labels:
RESPONSE CARD NUMBER
YES
NO
INVITE SENT (Y/N)
TABLE NUMBER
NAME
ADDRESS
CITY, STATE
ZIP

FH bought a wedding software program right after we got engaged!

But you can make an excel sheet and sort it by fields.

Re: organizing guest list

I have like three different excel spreadsheets with all of my guests on there-- one which gives a overview of all the guests-- that can fit on one screen.. One that has all of them listed with their addresses.. and another RSVP tracker.

Anal much?

I used access and did a mail merge when printing envelopes for STDs, brunch invites, even used it for Christmas cards.

I kept it simple and did response card number, bride or groom's side, name of guests/guests, total number with party invited, total number RSVPed for party (to be filled out when the RSVP), names as appearing on invite, address, city, state, zip, gift, thank you.

Me too! Someone sent me the templetes for doing them in excel and I may eventually get around to putting the adresses in there to organize the return responses.

Re: organizing guest list

I used Excel. It is a really great idea because you can then use this to merge into Word to print out envelopes, etc. If you keep it up to date after the wedding it is useful for Christmas Cards, etc.
I used the following tabs:

Name
Address
# of Adults
# of Kids
RSVP
Table #

I used and Excel SS also. But I made only 2 columns - the A & B list... and the B list will only get invited if a lot of people from the A list are not coming.

Re: organizing guest list

LIW has a guest list tool! I have my guests listed on here, and eventually when they respond you can bring the names in to the table seating option and work on your tables that way! This is just my way of organizng though!

Heres the links for the organizers here on LIW

Guest list

A, B, C lists

Looks like it's been updated recently... pretty good organizer! Eventually, you can carry the list into the seating chart organizer and move people around too!

Re: organizing guest list

I just bought an addressing program called Weddings Addressed, and its awesome, not only does it track your guests RSVP's and gifts, etc, but you can print out your envelopes,(which I plan on doing) and your inner envelopes with the proper names on it with out having to retype, you can also set up different list, like for your shower, and you can print out envelopes just for that, its very cool.

Here is the website, you can download a trial version to check it out.

Re: organizing guest list

I have an Excel spreadsheet with the following categories arranged horizontally:
Title (Mr/Mrs/Ms/Dr etc.)
Name (First & Last)
Relationship (this if for MOH so she can see who should be invited to the shower/bach party and for seating chart purposes)
Address
Apartment (if any)
City
State
Zip
STD Sent (checkmark if sent)
Invite Sent
RSVP Received

I'll probably add a section for gifts as well. Hope this helps!

Re: organizing guest list

Right now I just have an Access database with addresses that I will use for a mail merge for thank you's and such. I am also using this site's A, B & C guest list (which I found quite helpful). When I am thisclose to getting the invites prepared for the A list guests, I will reorganize myself on Excel.
