Payment to Reception Hall

Payment to Reception Hall

Should I give my hall less $$ and give them a number that is 1 or 2 less than our guest list, in order to avoid losing $$ for people who at the last minutes might not show up?

But they have to set a place for those people, and you need to include that in your seating arrangement, don't you?

Nina,

I am - I am telling them my quota - which is only a few people less that I have coming. But I already got a few cancellations and I don't want to pay for extras if I have more. I am making a place-card and putting everyone at a table and will give the hall the money on the day of the wedding if everyone shows!

That would stink if I had to pay more for nothing!

Most halls require a minimum for each room, so whether or not you mee the requirement they will be charging you for the agreed upon #, I chose to go less. If people decided to cancel or not show up, I still have to pay my hall for the agreed upon number on my contract. I know it stinks, but that's business. They also require full payment 2 weeks before your event. There is no way of getting around it.

Happy planning

This is kind of annoying because I need to get a money order, they won't take CC and I don' t want to carry cash. So, I have to have the exact amount written on the money order. I was only going to pay for 2 less people, and the full payment is due this Tuesday, 5 days before my wedding.
And, yes this means that the # of guests that I paid for will not match my guest and seating lists. I'm sure they will question that.

I gave The Watermill the room minimum as our number when we went for our final meeting. That is the minimum number you are paying for. They said they would be able to accomodate a few last minute adds.

There were a few people that I suspected would not make it even though they had replied yes. I planned seat for them but did not put it on the chart I gave The Watermill. My MOH had the seating cards with insturctions for those people. We had a number of last minute additions and deletions in the end I was even.

Fran, how did you plan a seat for them and not put it on the chart? Did you MOH keep some extra cards that were not given to the Banquet Mgr?

Thats exactly what I did

I have to have my seating chart done 2 weeks before...another bride on this board (and even the banquet manager) told me they can not lower the head count...but they can always add a place...

I will probably take a good 4-5 people off what I tell them and then the day before call and add them...

I'd add them the day of - we got 3 cancellations the night before and another 2 people who never even showed up (and never called to let us know why - We only found out last week when we emailed them to see what happened!)

Yabbobay - just make note of where you need to add the extra seats and let Marietta add them the day of. Since your ceremony is there, you'll have plenty of time. Just keep in mind - you'll need cash on hand to pay for those additions at the end of the party (if everyone shows).

We only told them 3 short, so with the 3 cancellations and 2 no-shows, we didn't owe anything but had pre-paid for 2 that weren't there.
