Question about OOT and Hotels

Question about OOT and Hotels

I still haven't sent out our Save the Dates. I need to come up with the hotels for the OOT. FH wants to give them options and I do too, but I really don't know how to handle the group rate thing... Most of the hotels want you to guarantee a certain amount of people. So do I just sent out a list with the hotels and leave a note at the bottom 'if you are interested in a group rate, please call us'. Or do I just pick one hotel and that's it.

TIA

Re: Question about OOT and Hotels

we went to a hotel and blocked off 10 rooms. And at The Inn at Fox Hollow we did the same, but had to guarentee 70% be booked. Some hotels do this, some dont. but they usually have a cut off date. I think its nice to give guests 1 or 2 options. I say 2 if one of the hotels is a bit pricey- which ours was- so we also did executive inn.

Don't make extra work for yourself. Pick one hotel and block out rooms under yours & fh last names. Rooms are usually held up until 30 days prior to event. If your guests decide that is not where they want to stay then they will have to find other accomodations.

Re: Question about OOT and Hotels

I see you're getting married at VYC. We just had a wedding there 2 weeks ago. My friend used the Marriott on 110 to reserve her block of rooms. The rooms were really nice & large bar area that we all hung out in after. I think it's a newer hotel.

You could also ask your RH other hotels in the area you would recommend. Then, call the hotel & let them know you need a room block. I blocked 15 rooms initially. You shouldn't have to pay any sort of deposit to hold these.... We then added more several months ago b/c we used all 15. If you have additional in your block- you usually release them back to the hotel (and not pay for them) approx 1 month prior.

I would call some local hotels now b/c you'd be surprised how fast they book up. See who's convenient & who has good rates for your guests.... Good Luck!!

I agree, pick 2 hotels with decent rates - or one sloghtly nicer hotel and one regular type hotel - and give them those options. If you feel people are going to want to stay elsewhere, you can include a list of other hotels in which rooms are not blocked but are nearby ...

And I don't think you necessarily need to send save the dates - aren't you going to send out your invites in june or july?

we blocked out 20 rooms at the marriot melville...and we haggled for a cheaper rate...i think we got them for like $139...they will hold them until a certain date and we dont have to pay for them...i didnt put the info in the std's..i will put them in with the invites and just write on the hotel cards that they will be held only until a certain date.

Re: Question about OOT and Hotels

I did one hotel...reason being is we needed ALOT of rooms and we reserved 3 buses to transport our guests.

You can block 10 rooms at one hotel, 10 rooms at another hotel. You do need to sign a contract but you dont need to leave any deposit. If the rooms dont get booked, then they are just re-released to the public!

Re: Question about OOT and Hotels

Don't stress yourself out and try and fill two hotels-go with one hotel (which is what we did) and block the rooms there- they usually give you until 30 days prior to fill up a certain percentage (we had 9 of 10 rooms used up by the time 30 days prior came around and they didn't charge us extra for anything) of the rooms that you blocked.
Also ask that if you need to add on rooms that it's possible.

I also did my own hotel cards because they didn't have any for me- pics of the wording are in my album and I sent them with the invitations.
