We were thinking of using candles that have the guests name and table number on the candle and can also be doubled as one of the favors but if your not using a typical place card how are you solving the problem of your guest recieving them before the cocktail hour (when they walk into the reception hall and have the card table in the entrance) and having to carry them around until the ballroom/reception room opens up. With the typical place card, most people just put them in their pockets

Don't put the place card table near the netrance. Put it right inside or outside the reception room door.

Putting the card table inside the reception room is not an option. My hall keeps it closed off until it is time for the guest to enter that room. And Im not sure if putting it inside the cocktail hour room will make it look cluttered

Exactly. When they walk into the main room there should be a table there with the candles.
