We just did this, we are blocking 10 rooms.

I'm going to try to do this this weekend. What questions should I be asking?

If I block 10 rooms at a discounted rate and only 6 get booked, we are not responsible for paying for the 4 rooms, right? Not sure exactly how this works...

It depends on the hotel - I just called up all the hotels in the area and asked them:

1) Is there a minimum # of rooms that need to be blocked

2) Do I need to guarantee that a certain # of rooms are booked (ie. if they are not booked, then I have to pay for them)? (this was only the case at they Hyatt - all the other had no requirement)

3) Do you provide direction cards?
4) Can you distribute my OOT bags to the guests?
5) What is the price per room?
6) If I were to book a room at the hotel also, do I get a discounted rate?
7) Is there a shuttle available to my reception? What is the cost if available?

Hmm that is all I can think of. I also visited the 'finalists' to check out the size of the rooms, pool, bar area, restaurant area.

How it works is you block a certain amount of rooms at a discounted rate, your guest have up to a certain date to book in order to receive the discounted rate, but lets say you block 10 and only 4 rooms are booked, you are not responsible for the other 6 rooms, the hotels just unblocks them after the deadline date. HTH
