How do you let guests know about hotel??

I am sending out my invites in April - I want to tell people that If they would like to stay in a hotel the night of the wedding I have one - do you send this information with the formal invite or in by itself? I also want to tell people that there is a brunch at the hotel the next day... How do I inform my guests of this? Please let me know if anyone knows the proper way... As always thanks for the advise...

I too need to send out hotel info to the guests. I thought they went with the formal invites but if that's not the proper way I'd really like to know. Will you be sending hotel info to all the guests or to just those you know will need it?

I typed up a small information card on the computer and the heading said something like 'You`re coming from out of town...' and then gave them info about the hotel, etc. In a second paragraph let them know about the brunch. It was smaller than the invitation and I simply slipped it in the envelopes of the out-of-towners, right in front of the directions card. Don`t forget to tell them what date they should reserve by if you have reserved a block of rooms.

We have about 40% of our guests coming from out of town, so we sent a Save the Date letter to them last fall, with hotel information. We also included a map in all our invitations (not all the local guests will know where the chuch and reception site are) and on that, we listed the 2 hotels with phone numbers as a reminder, for those who haven't booked yet. As for the brunch, you can include that in the invitaions (but only those of the out of town guests, unless you want all the guests back the next morning!) or you can include the invitation in a small goodie bag that you leave for each guest with the desk clerk at the hotel, to be given when they check in. Goodie bags can be simple, just a copy of the weekend itinerary, with some juice, bottled water or soda, some cookies, candy or other snack, etc. Just a little perk-me-up for them when they arrive after traveling.

I love the goodie bag Idea - I was thinking of baskets with the smae kind of stuff. I think this is such a nice way of greeting our guests. I sent a save the date I wish i would of put the hotel info. then. Do you think it is tacky to include hotel info with the formal invite?

I don't think it's tacky as long as it's attractive. We slipped our maps into the inside of the invite, so it didn't mar the first impression. One option would be to print some postcards or note cards on your computer, using the Avery card stock from an office supply store. Dress them up with some cute wedding or floral clip art.

Save the date letters are great but at this late juncture (you said your sending your invitations in April right?) I would still think that enclosing a card in the out of town envelopes does the trick without causing you to have to send out an additional mailing. Plus giving your guests all the information in one mailing has other advantages, the biggest being that they are less likely to misplace this additional info if it is sent with the invite.

What we did

The hotel actually gave me some nice cards and I included them in the envelope behind the invitation. Since the hotel is a little more expensive than most, I also created (on the computer) using a white card stock with lettering colored to match the invitation an additional card that listed 'Additional Area Hotels' with the names, #'s, and # of miles away from the hall on it. It looked nice. I also only included that info if I thought people needed it..besides the obvious out-of-towners, I put it into people from Brooklyn,Jersey, Staten Island, etc. but not anyone coming from Long Island...

How do you let guests know about hotel?? WHAT WE ARE DOING

We made a pamphlet that has details about the different hotels that we have booked (we booked three diff hotels), as well as information about the transportation that we will be providing from the hotel to the wedding and back. More than 50% of our guests will be traveling, so we made the pamphlet to help with their trip. We also included info on aiports that are close to the hotels and how to get transportation to their hotels (from the aiport). We are sending out the pamphlet before the invitation to people who are definetely coming. hope this helps!

Neda, Do you have a copy of the info you sent out available to e-mail. I'm struggling with directions and wording, etc.
