Do you need to make an appointment to look at hotels and discuss blocking rooms for the wedding?
FH and I want to go sometime this weekend, but we're not sure of which day yet

Re: Question about block ofrooms at hotel
Nevermind, I didn't read the question properly. You can call to see if you need an appointment. Otherwise we just walked in.

Re: Question about block ofrooms at hotel
if you go to look at rooms on the weekend there probably won't be anyone available to book the block.
You can hope someone is available to show you rooms. Best bet is between 3 and 6 because rooms will mostlikely be clean and unoccupied!

I didnt at all. I had been tothe hotel before. I called the catering manager i think it was and discussed it, she sent me a contract stating the price and when the rooms woulf be let go...and the cards to insert in the invites...
and then i mailed it back signed and that was that!

Re: Question about block ofrooms at hotel
I spoke with one of the managers before I went. Most places recommend you go during the week because they're booked up on the weekends.

Re: Question about block ofrooms at hotel
We didn't know what the heck we were doing when we went looking so we just went to diffrent hotels and at least got the contact information of the person that dealt with it- then we made appointments as necessary to see the rooms and get information.

Re: Question about block ofrooms at hotel
some hotels do want you to make an appointment they don't seem to care. Most of the time the person who takes care of the room blocks will work during the week, but one of the managers will show you rooms on the weekend.

Re: Question about block ofrooms at hotel
you can go check them out anytime if you want to just take a look at the rooms...but most likely the contract person that you need to speak with will be a 9-5 mon - fri schedule. you can deal with them over the phone if you want. They'll send you contracts, etc either by email or fax.

Re: Question about block ofrooms at hotel
i walked in to get info and they told me i could just do it right there and then so i did.
but if you want to be on the safe side, or if you're going on a weekend, you might want to call first. that way you're guaranteed the person you need to speak to will be there.

Re: Question about block ofrooms at hotel
I called all the hotels we were interested in to see who still had blocks available and what the rates were. then when it was narrowed down, we made appointments to see 2 of them....they emailed/faxed us the contract, we signed after seeing the place, and gave it back. It was a pretty simple process, but 1 hotel didn't have the rep on the weekend....so a person at the front desk showed me the room, but all she did was show me the room.....she didnt know anything about the meeting room that i wanted to see and stuff.

Re: Question about block ofrooms at hotel
I did it over the phone -- a had heard from my old boss, who is very critical, that she thought it was really nice and that was enough for me. I did stop in there one weekend but they were sold out so no vacant rooms to show me.

Re: Question about block ofrooms at hotel
I used to work at the Inn at Fox Hollow, and yes, it's better to call and make an apt with whoever is in charge with the social meetings/social blocks. Because alot of brides come in at night and especially on the weekends, thats the hotels busiest time and it used to be crazy insane when the phones would be ringing off the hook, guests have request and need something sent to their room and people checking in. It's way too much for 2-3 people to do at once. So you're best bet is to call, and set up an apt. That way when you come down, the director of social sales will be able to take his/her time and show you the whole place, the rooms ans give you the grand tour! Thats the best way to go!
We simply would give you information on the hotel, but thereafter you would discuss the block negotiated rate with the manager of social sales. It's a negotiated rate that you get and all varies on the month that you get married in, because once the spring comes, it goes up and up and up throughout the summer months.
