We are under!

Help! What can we do? We need a minimum of 125 people and we have about 100 coming!!! We invited 180 people and many obviously cannot come (we are getting married July 4th weekend). We have just about exhausted our B list. We may be able to get another 10-15 people. Has anyone been in this situation and if so, what did you do? I've heard of people getting extras thrown into their package but I don't know if the Swan Club will do that because they seem strict about things like that. Personally we are OK with 100 people coming but I don't know how the Swan Club will react.

Did you include your vendors? If you are still under, I would ask about throwing in some extras.

My Girlfriend just came in 25 under at the Glen Island Harbor Club. They gave her another hour, but she had to pay for the 25 plates. It was kind of sad, I had 2 empty plates next to me!

Maybe you can get extra time?

Swan Club doesn't care as long as you pay them for the minimum. They should be willing to add something in, but they are not obligated to do so. I've heard of upgrades for cocktail hour or dessert as nice gesture on the part of catering halls.

Claudia, we're under too, but with vendors, we'll just make it to our minimum. Use the vendors and try to get some freebies...

Omigod! I didn't even think of the vendors. And of course I forgot my FI and I. That should bring the number up to about 112. Maybe we'll ask for extra dessert or something extra at cocktail hour.

if you have to pay for people who arent showing up... maybe you can ask for them to give you a take home of those peoples dinners?

You are going to have to pay for 125 plates if thats what you contracted for. You should definately get something for the money you are spending. At a minmum they should give you the meals that are not eaten. Put them in the freezer or give them to your family/friends. An upgrage at the CT hour or someting extra for desert would not be a burden to them. Just ask if they dont respond Tell them what you want.

My hall gives us product if we fall short. I would talk to the SC and see what they will do.

Julybaby I am going through the same thing and getting married on the 4th of July. We have to pay for whoever is not there and they didnt mention any extras for us.

We invited 350 and guaranteed 250. Who would have thought???

We were under by 10. We were able to negotiate wine service at every table throughout the reception and they included fresh flowers for the cake. (This wasn't at the Swan Club). I would ask and negotiate. I initially wanted the flowers and pastry trays at each table. They wouldn't give it to me but the hall came back with 2 options. Doesn't hurt to ask. Good Luck!

I would ask if they would throw stuff in - they will usually do that -

A girl I saw a few months ago on the Wedding channel was like 25 under - but they would only throw in some stuff so she invited some Wedding channel friends and made a table for them - I guess she figured if she was paying someone should have a good time
