What to do with Vendor Contracts?

What to do with Vendor Contracts?

Any advice about things I should make sure are on a band contract or any vendor contract for that matter...or lists of additional contract guarantees? Can you add-on to a contract stipulations after the initial contract is already signed? I've heard some horror stories about extra charges after the wedding...but don't see anything on the contract other than total balance due - deposit etc... Wierd question but what if the vendor says oh we needed to provide this that or the other thing and here is the extra charge. If I don't feel it is legitimate can I refuse to pay saying it's not specified on my contract? Thanks!

What to do with Vendor Contracts?

There are a coupla ways to proceed. One is to assume that we have a mutually trusting relationship wherein my intent is to make lots of money from you because you love our product and are absolutely thrilled with our service. The other is to not trust each other because it's a mean cruel world and we're both out to take advantage of each other and get as much as we can from each other. I'd say it depends on your relationship with your vendor. My intent is to do the best job I can for you. I would assume the other vendors are the same. If I ask for something that is not spelled out, you should assume it is for a reason that makes sense that is in your (our) mutual best interest.

What to do with Vendor Contracts?

First of all any vendor you choose you should be very comfortable with and also a trusting relationship.When you sign a contract it is a binding agreement. You can add items or services only if it is agreed upon prior to the service. Make sure everything you want or expect is in writing. Don`t assume its included. If your booking a band, how many entertainers, length of breaks, type of music etc. Hope this helps. Charlie

What to do with Vendor Contracts?

You should make sure that everything you need is on your contract, when you sign it, and also make sure that you can always add on extras if you want later on. You should not have to pay for any hidden extras right before your wedding, because everything should be included, but check with the particular vendor just to make sure. What to do with Vendor Contracts?

Personally, I write down everything that should be in the contract so that the client understands exactly what they are getting on their video or DVD. If clients wanted to add options to the video they may do so. Also, if client wants to remove options from their contact I would adjust the price accordingly. For me there really isn't a problem with that. Also, there should be a friendly relationship between the client and the vendor. Every detail of the services a vendor provides should be clearly written out in the contract. Never assume any aspect of a service.You should never have to pay additional fees that are not clearly written in the contract.I also have heard many horror stories of last minute charges to clients that were implied as being given but were not written in the contract. The biggest clause to look out for in a contract is 'in event of illness a comparable band will be substituted' .There is no such thing as an entire band being sick.In the event of illness -which no one can predict- one band member might have to be replaced. The bands that use the above clause try to book as many weddings as possible on the same date-then farm out the weddings to other bands at the last minute.This is known as a 'screamer' because the band knows the bride will scream when she finds out. Also all these organizations want full balance of payment two weeks in advance of the date.The check clears -the bride signed a contract with exclusion clause-and it it totally legal.Never pay the balance to a band until after the wedding is over. Unfortunately this is usually done to a bride within a week of the wedding - or at the wedding itself- when the bride is hectic with last minute details or caught up in the wedding celebration.Unfortunately many brides give in to this pressure.Another horror story is from one of my clients who was upset that the florist charged an additional $500 for the flowers-that were implied but not written into the contract. The florist kept saying'Don`t worry-we will take care of it'. One week before the wedding the client found out to get the special flowers were $500 extra.They called me for help but there was nothing I could do.I was not familiar with the florist and he had all types of special clauses in his contract that the the client was held to. This wound up with still additional charges the day before the wedding from the florist.Obviously the client will never recommend this partcular florist to anyone.This is extremely poor business practice from a vendor.Also be very careful to read all the fine print-on both sides of the contract. You are responsible for anything in writing.My office contracts have no fine print and no conditions on the back of the contracts. Everything is clearly written out - no mis conceptions- no hidden costs-no additional fees. This is one of the topics I speak about in my seminars to bridal consultants. A reputable vendor will never lower his business standards. If there is any question about any aspect of the contract- you should make sure that all your questions are answered and added to the contract to avoid future problems-before signing.After you sign it is too late. Always use vendors you feel comfortable with. You should not feel uncomfortable for any reason. Everything should be clearly spelled out in your contract. Changes can always be added. And you should never be charged for something after the contract is signed that you were not previously aware of.
