Ideas on Planning/Coordinating/Organzing the Wedding Weekend..

Ok, with less than 4 months to go til the wedding.. I find myself waking up in the middle of the night thinking about spreadsheets I could make, charts, itinieraries, etc.

Any helpful hints out there? I just want to be organized and prepared.

I can see myself like creating a binder with sections to give to all my family and bridal party- they know I am crazy- I just don't want to prove it to them

I think it would be good for you to print up itineraries for everyone in the bridal party, a set of directions, important phone numbers, and a list of special duties or responsibilities they would need to know about. A binder seems a bit much unless you have multiple events (more than 2-3) for the wedding, in which case you could put together a small binder with tabs for each event.

But keep in mind that some members of the bridal party may not want to carry a binder around all weekend.

I haven't thought very much about this yet for my wedding, but my initial instinct is to simply staple a few pages of info together and hand out to the key people. I would want it to be something they could tuck into their purses or pockets if need be.

Hmm, you've made me realize I have another 'To Do' to add to my list! LOL!

I was actually kidding about the binder.. although I do think it would be very organized and efficient!!

I just feel like there are so many details- I am just trying to figure out what tasks I should delegate. I truly look at my wedding like I am project manager for the wedding- people are not lying when they say it is a second job!

I totally thought you were serious about the binders!! I have to say I am glad you weren't! I was afraid you might draw a few chuckles/looks from your wedding party!

I know what you mean about all of the details. I had a conversation with my parents just last night about delegating things. I am going to try to assign tasks based on people's strengths and personality. For instance, my MOH is not afraid to speak her mind, so she might be asked to manage any conflicts that come up with the vendors that day (hopefully there won't be any).

I think that you and I have crazy thoughts about spreadsheets, itineraries, and charts because of our jobs. I actually found myself evaluating a document I received at work the other day (deadlines and that sort of info for a marketing program)... I was thinking how organized the document was and how I could use the same format to create a schedule of sorts for all the important participants for the 'day of'.

If you come across any good idea... please share :)

I think stapling them together would be nice. Or you could even e-mail it to them if you want to go less formal and then of course 'make copies' for those who've conveniently forgotten their itinerary

i am going to put together a little folder for each member of the bridal party and give it to them at the luncheon the day of the rehearsdal dinner along with a weekend survival kit (snacks, lady items, blotting papers, chapstick, water, etc...) Parents and siblings of the bride and groom will also get a folder with important info and contact numbers, and lastly the hall will get a folder of vendor telephone numbers and contact list. Additionally, all the guests will get contact numbers in their room along with directions - I ill designate brothers and groomsmen to be people you call when you are lost!

I thought I might put a cute sticker on the front with our names or something...

A destination wedding calls for extreme amounts of communication - I have a feeling with 100% of my guests being from OOT, we will be getting alot of 'I'm confused!' telephone calls. I want to eliminate that!
