If you find out 3 days before your wedding that...

someone isn't coming, but have already given in your count, can you tell the hall and have them lower your count without a penalty? (assuming you have met your min)

what do you do otherwise?

are you planning to underestimate your count?

just one more thing to worry about


Edit: this is purely hypothetical at this point but we had 2 last min cancellations for my e-party so I wouldn't be surprised if it happened for the wedding

Id call..if you met your min. hopefully they wont make you pay for the extra guest.

We are only allowed to increase the count

We do have that happening b/c someone is in the hospital but we are not not changing it. our min is 175 and we have 176 w/out vendors

You can try.....we actually had EIGHT people do that....my mom told our BM about one couple like 6 days before (but after final count and payment), her friends whose mother was in hospice and was day to day, and we actually did get refunded for those people, but not for any other. We ended up inviting some of DH's cousins who were younger who had gotten cut from the invite list originally b/c we didn't have room, but were travelling with their parents anyway. So we swapped 6 kids for 6 adults....still a loss but not so bad. Also, our min was 150 and we were at 185. They aren't obligated to give you anything back once you've already paid.

We ended up underestimating our count by 3 and ironically 3 people didn't show.

once we gave our final headcount we were not allowed to lower it, only increase it. we had two people cancel right after we made our final payment.

We have been told to give a few less to rh just in case - easier to call the day of or day before and increase by 2-6 people.

I think that happens to everyone. We had 4 that cancelled after the hall was paid off, and they didnt refund. I guess it depends on the hall.

You can call them...but if it's over the minimum they will be able to do something but if it's under you still have to pay for that guest! My RH minimum is 135! We aren't there yet! We only have a head count of 50 people so far!(which includes spouses and significant others, family...etc)

I'm not sure if I can increase or decrease after the final payment. For some reason I don't think I can do either... I will have to call..... again
I was thinking of underestimating my count because every party I have people who said they were coming didn't show

Why dont you just tell them 5 less people when you give your final count, b/c I'm sure if you called three days before and wanted to pay for three EXTRA people, your hall would hvae no problem w/that. This way, you're covered.

Hey...my hall did not let me cancel anyone out. We had to have the final count in on Monday before the wedding and seating chart in by Thursday before the wedding. I had 3 no shows but just let it go. Annnnnd....all the people who came by themself (ie their dates were the no shows)...the gave a generous gift that covered the missing person so we didnt care. Its bound to happen you know.

I was not able to cancel anyone but I was allowed to use the money for the 8 or so people that canceled last minute to put towards something else. We added a frozen drink bar with the $ that would have gone to their dinners.

I would definitely call...my RH told me to underestimate the number of my final head count to try and take into account people that don't show, do to whatever reason...

check w/ yur RH b/c I know our final count became our new minimum so we couldnt subtract from that.

Usually it is a 72 hour policy.

In my case the RH gave us until 24 hours before to make any count changes - we wouldn't be charged for the changes until after 24 hours prior to the event. After that you're stuck paying for that guest but it varies from each RH.

well depends, would you still be under your minimum or at your minimum? if so then it doesn't matter bc you have to pay for the amount of guests you guaranteed no matter what...if you guarantee 200, even if 175 guests show up only you still pay for the 200 guests, so if you give them a lower headcount and its under your minimum anyways then it wont make a difference.

If you are over your minimum then its different, if you give a headcount before with a number higher than what you guaranteed then you will pay extra. If you give a number though that is within your minimum and the day of theres more guests that is over your minimum and just a few then dont worry bc most wont sit there and charge you extra the day of, especially not for 1 person they just let it go

but no they wont lower your minimum...you can make changes to seating arrangements if the number of guests change 24-48 hours before that is what is said on the contract, just not lowering your minimum
