Honestly, I think It'll be fine. I'm having somewhere between 150 and 175 and I'm not concerned at all. You have to figure in 15-20% "No's" when you consider things things, and I think the Briar Fox will be perfect.

Ok girls. Last week I was taking a train into NYC and reading a Knot magazine, and I discovered that I have several Fox Hollow related questions. Can any of you help me out?
1 - Where are the vendors fed? I will have no room in my room and don't necessarily want them in my reception - would be awkward for them and anyone sitting with them ...
2 - Do the vendors get the same meal as the guests? Or is there a cheaper option for them? I know that I only pay 2/3 for them (unless I am under my minimum, which I am fairly certain I won't be).
3 - how many bartenders will I have? I am in the WGP and I expect about 140-50 guests. The magazine I was reading said that there's normally 1 per 50 guests .. I can't imagine there being 3 bartenders in the WGP, but hopefully 2??
4 - How many direction cards do they give you? Will I need to make my own copies, or could I go to get some and then go back in like a week and get more if they cap it off? (I live really close to the FH.)
5 - What time can the band arrive? My reception begins at 2:30pm, but my keyboardist is playing at my ceremony, and I want him to begin playing at 12:30. Maybe he would arrive at 12 or so to set up and the rest of the band could arrive at 1-1:30? I am the first wedding of the day I believe, definitely the first wedding in the WGP.

2. I don't know if they get the same, but i'd have to think so, yes.
3. I'm sure they have the right amount per guests! Put that down to ask Frank the day of your final meeting. Don't stress it - they know what they're doing!
4. They will give you enough for what you need. I didn't need to make any copies...if you need more, ask for them! :)
5. I'd ask Jenn that one - as i'm sure she can tell you. As you are the first wedding of the day - i'm sure you'll be fine as far as times!

One more question. Does anyone who was / is going to be in the WGP know if the placecards can be put anywhere else besides the piano of the rose and hunt room?
Here's my dilemma: I have placecard holders that are also favors. They are pictured below ...
I don't want people to pick them up at the beginning of the cocktail hour and leave them at their CH tables ... and I might also want to light them ... so I was thinking of having them set up in front of the entrance to the WGP, so that they are carried in as they enter. Would they do this? Is it a good idea?

just my two cents - but having them lit may not be a good idea...as they may be warm to the touch when people go to pick them up. You may also have a few doofuss leave them after reading the table they are at....(dontcha love how you have to idiot proof EVERYTHING!!)!

After the CH, the moved the table into the WGP with the left over placecards. They may be able to set the table up in the WGP the entire time. My concern (in addition to burned fingers) is that there would be a backlog at the door as people walked in (gave a "wow" to your room) and started looking for their name and table.

by request, Fox Hollow set up our votive candle placecards on a table directly outside of the Winter Garden Pavillion which was our main room.
I didn't want people to have to walk around with them during cocktail hour and I still wanted to have them lit. it was the perfect solution because the guests were able to enjoy their cocktail hour and then pick up their place card (that was lit) right before they entered the room.

Thanks to all of you who responded about my placecard dilemma. I planned on making some sort of elegant sign that said something like "Your placecard holder is also your favor - please take it with you to your seat!" to avoid people leaving them behind.

JBooth, I called yesterday about direction cards- they said that I could pick them up anytime. I live in Manhattan and as much as I love Fox Hollow, there's no way I'm making a special trip to LI for them! I asked if they would send them to me and it seemed to depend on how many I needed. I need 100, so they said no problem.
It boggles the mind that practically every vendor I've ever called on LI was totally baffled by the fact that I live in Manhattan and would be having a wedding on Long Island. Also that I don't have a car.. siiiiiighh...
In terms of your candle/placecard holder.. i do wonder if those are meant to be placed at each seat as an actual placecard- not on one table as is typically done at weddings. It might be difficult (or stressful) to actually chart out actual seating, but if you did that, you could leave each one at a specific chair, so people wouldn't have to carry them or touch them at all. Then you could have one or two big charts with each table # and a list of guests on it. I've seen pictures of this.. it's more work, but it could work.
I wouldn't light them and then expect people to take them from a table- think about all that paper! And women may have long hair or shawls that could catch on fire.. totally not worth the risk!!

I would ask to see if the staff could light them when the guests are seated. I've seen this done and it does look amazing. On the other hand, if its there favor for them, do you want to use their "gift"??? Just a thought.

I have thought about leaving them at the tables. However, I bought them because they were a two-in-one thing (placecard holders AND favors) so doing this would negate that and cost me more money (but not a lot if I just make tent cards). I have thought about this a few times.
The other thing, I am having a day wedding reception. Will it matter if the candles are lit? Will you even see them? Will it create any ambience at all?
I go back and forth about having them at a table in front of the WGP, not lit, with a sign to tell people to take them as it's also their favor - or just having them at the table, wrapped, and NOT using them as placecard holders.
I looooooved that they did double duty though, so I am headed towards my first option ....

okay - as it is a day wedding - i'm going with not lighting them. i hadn't even thought about the whole, you're 'using' their favor part!
i like the double duty factor as well!
However.....in the hallway before the WGP - it CAN be kinda darkish...even during the day...
Here's what i say you do...and if you don't do it - take no responsibility for your actions (totally kidding)....
Go to the Fox Hollow at the time that your cocktail hour will be ending & see how bright it will be near where you want to put the table. IF it's dark enough that the candles would create an ambience, then, light them! If not - don't...

Here's the thing - yes, technically if I light the candles in the placecard holder, I am "using" their favor - but it's just a tealight. The reason I got it is because I feel it's a favor that can be used as a decoration for a few months, not something that has no purpose for the guest ... and if they used it the day after my wedding, or on the thanksgiving table, they'd have to buy another tealight anyhow. I consider the actual iron-like item - the leaf decoration, etc - to be the favor, not so much a cheap candle, you know what I mean? I don't think anyone would be mad that I burned their tealight, do you?

Does anyone know if the rumors are true that Ron from Fox Hollow left? He was my BM and i just booked w/ him about a month ago, and he was really nice... now i'm just worried about who will handle my contract! I hope that they honor everything he threw into it...

Once you book - there is a very slim chance you'll deal with your BM anymore...
I think once we booked, we spoke to Ron two other times & that was it. Once you have booked - you move to another person...and in our case that was Jenn.
BUT - since you are so far off from your wedding.....you may want someone to speak to in between now & then... Maybe go to the Fox Hollow and face to face ask them who you can speak with??? This way - you don't get a phone call run around....

i hear you about the "double duty" my favors are buttefly candles that are go going to be lit on the table, i'm sure this doens't help you, but i do have your same reasoning!
