The Importance of Final Meetings with your DOC!
Saturday, October 22, 2011 Sandra and Ralph are getting married!
Sharing Beautiful Memories will be providing the Day of Coordination services for the event. We believe that it is important to know every concern that our couples have regarding their event. This is why we include an introductory meeting and a final planning meeting for our Day of Coordination services.
Introductory Meetings
At the introductory meeting the DOC lets the bride know exactly how coordination services work. The bride and groom let the DOC know what they are planning and what they think they will need the most assistance with during the event. This meeting happens as much as a year in advance depending on when the services are booked.
The contract is previewed (and in some cases signed) and any special needs are included. After this initial meeting there are follow-ups via e-mail.
DOC services are not complete planning packages, so the couple is doing the booking of vendors. This doesn't mean that the DOC is out of the loop! The coordinator needs copies of all contracts so that details can be confirmed and the timelines can be created.
Final Meetings
At the final meeting the couple and the DOC review the final concerns, head count, special requirements, and contractual obligations. The DOC also gives the couple pre-labeled envelopes for final payments and tips that must be taken care of on the day of the event. When the coordinator arrives on the day of, the envelopes can just be handed over so that the bride and groom don't have to be concerned with any payments. After the final meeting the coordinator can then call the vendors to re-confirm the details; create the timeline; and make sure all needs are met on the big day.

Sandra and Ralph are getting married Saturday, October 22, 2011. They had their final Day of Coordination meeting on Sunday, October 16. At this meeting the contracts, times, concerns and special accommodations were discussed. The timeline will be e-mailed after everything is confirmed with the vendors and venues.
Some issues that came up
Should there be a basket in the men's room?
Do the bride and groom want alone time in the bridal suite before the reception?
What should the florist be doing for ceremony decorations?
Can coordinator pick up items from bride and bring to reception location?
Can a few guests be added at last minute?
Who should be getting centerpieces at the end of the night?
These types of questions are SO IMPORTANT and that is why a final meeting is CRUCIAL!
